Abstract

This article addresses the analysis of the digital environment (Google Drive) of the Entrepreneurship Center (CEMP) of the Federal University of Sergipe (UFS) carried out through a situational diagnosis of the files that are already born in the digital modality developed during the execution of the extension project: Digital Documents Management that was conducted in the period from July to November 2021. This project aimed to analyze the digital files that were scattered in the database of the organizational unit (CEMP), identify the flaws that hinder the retrieval of information, and verify the feasibility of applying a standardized document organization system supported by policies in order to ensure the execution of actions. Its general objective is to present the results of the diagnosis carried out during the project's execution period; its specific objectives are to organize the natural-digital documents and preserve the digital memory. The methodology consisted of an exploratory and descriptive research, bibliographic and field research, and a qualitative and quantitative approach. The results obtained point to the concern of the organizational unit with the organization and retrieval of information due to the absence of document management and the change of the database to an archival reliable digital repository to conform to the resolutions of the National Council of Archives (CONARQ).
